Grants 2.0 Go Live and Blackout

It's finally official - Monday, June 22 is the Go Live date for Grants 2.0. After months of design, development and testing, the Grants 2.0 initiative will soon become operational at which point the University will immediately begin to see some of the benefits of the new integrated end-to-end system for handling research administration. The transition to production will likely commence the evening of Thursday, June 18; therefore, PeopleSoft Financials will be "view only" between then and normal availability on the morning of June 22. In the event that transition does not proceed as planned and a contingency plan is required, the alternative Go Live date would then be one week later on Monday, June 29. The transition to production includes, among other things, the conversion of all active projects (in excess of 11,000) to the new system prior to launch. While RSO staff have actively been working on conversion for some time, it will be necessary to invoke a blackout period, commencing June 8 until Go Live, to ensure that all remaining project conversions are completed. During the blackout period, no new research accounts will be set-up; no amendments to end dates will be possible; and no invoices will be sent to sponsors. This necessary approach has been endorsed by the Project Sponsors, Dr. Lorne Babiuk, Vice-President (Research), and Phyllis Clark, Vice-President (Finance and Administration). Conference Room Pilot 3

On Tuesday, June 9 the final conference room pilot (CRP3) will be held with campus users to walk through and discuss Grants 2.0 changes that may impact them. These 75-minute sessions will consist of a formal presentation and an interactive portion for participants to provide feedback on the final stage of training and communication to the larger campus user audience. Here is a sample of the material that will be covered at CRP3:

  • Changes to eTRAC reports necessitated by Grants 2.0;
  • Changes to Form 300 and Statement of Revenue and Expense;
  • New landing page for researchers and how to access the Researcher Home Page;
  • Availability of critical documents (e.g. the sponsor application) as attachments through links from the Researcher Home Page.

CRP3 will be held in Council Chambers, University Hall with a session for Natural & Social Sciences users from 9 to 10:15 a.m. and one for Health Sciences users from 10:30 to 11:45 a.m.

Grants 2.0 Campus User Training

Given that the Grants 2.0 changes do not have a significant impact on users outside of RSO, we will not be holding formal classroom training for campus users. Instead, a Grants 2.0 Delta Guide will be made available through the RSO website. The guide will contain similar material to what is covered in CRP3, just with more detail, and it will be a useful reference once Grants 2.0 is in production. There will be two short web-based tutorials made available that highlight the main features of the Researcher Home Page and Financial Overview – Flash Report.

More details on training options for campus users will be available in the next issue of Countdown to Grants and on the RSO website prior to Go Live.

 

Register for Research Administration Day

A reminder to register for Research Administration Day taking place on Tuesday, June 2 - RAD provides practical presentations and interactive workshops focused on the complexity, diversity, and accountability of administrative responsibilities with research funding. The purpose of RAD is to promote and support excellence in research administration.

RAD is designed for administrators who are involved with research administration and management at the Faculty, department and project level. Research Administration Day will continue to offer three learning streams to meet the differing needs of research administrators at the U of A: 100 (introductory), 200 (intermediate) and 400 (advanced) level sessions.

Bill 27 Update

Bill 27 (the Alberta Research and Innovation Act) is through its second reading in the Legislative Assembly. The Bill is intended to better align the province’s research and innovation system so that it is more efficient and effective. The structure proposed in the legislation recognizes the critical relationship between a strong basic research capability at Alberta’s post-secondary institutions and the Province’s ability to capture the value resulting from these investments in order to provide health, societal and economic benefits to Albertans. To support the implementation of the activities defined in the Bill, regulations are being developed that will set out the detailed roles and responsibilities of the various corporations that will be established by the Minister of Advanced Education and Technology. The transition to the new structure will be completed by early fall. More details will be forthcoming over the next few months.
