Grants 2.0 Go Live!

On June 15th, the project sponsors – Phyllis Clark and Dr. Lorne Babiuk along with Dr. Jonathan Schaeffer – gave their approval to proceed with the migration of Grants 2.0 to production. During the brief period between June 18th and June 22nd, there will be some system impacts for campus users.

The migration will begin the evening of Thursday, June 18th following production batch. Grants 2.0 will launch the morning of Monday, June 22nd, provided the migration goes according to plan. If for any reason a contingency plan is required, the alternative Go Live date will be a week later on Monday, June 29th.

 

System Impact on Campus Users

Because it only resides in the production environment, eTRAC will be totally unavailable on Friday and Saturday. You are strongly encouraged to run reports prior to the end of Thursday evening.

Smart Forms processing will also be unavailable due to dependency on the PS Financials environment. In order to be processed this week, Smart Forms must be completed by the user on Wednesday so that HR can complete their processing on Thursday.

On June 19th and 20th, there will be no update capability in the PS Financials production environment. The Reporting environment will, however, be available as "view only" during this period. This temporary change will be seamless to users as your production security will apply, and you will be automatically redirected to the reporting environment when you sign-in to production.

Any interface files sent Friday evening to PS Financials will be archived and included with normal production batch, which will resume the evening of Monday, June 22nd.

 

Campus User Training

The most significant change with Grants 2.0 for campus users is the launch of the Researcher Home Page and Flash Report. These highly intuitive, easy-to-use tools, which were designed with a Focus Group of researchers and administrators, provide project and proposal information at a glance. Self-directed training materials for campus users will consist of:

  • Grants 2.0 Delta Guide describing the changes for campus users resulting from Grants 2.0;
  • Learning Summary for Researcher Home Page and Financial Overview/Flash Report; and
  • Web Training Video, approximately six minutes in length, with step-by-step instruction on how to use the Researcher Home Page and Flash Report.

These training materials will be available the morning of June 22nd once Grants 2.0 is in production. Researchers and administrators can access these materials through their normal sign-in to PeopleSoft. These materials will also be accessible through the RSO website.

 

Townhall Meetings on REB Organization

The VP (Research) Working Group on Research Ethics Boards (REBs) Organization at the U of A needs input from the campus community. There are currently eight REBs that will be reorganized to no more than four. To give your input on how these new REBs should be structured, please attend one of the Townhall Meetings.

  • Thursday, June 18, 10 a.m. - 12 p.m., Humanities Centre, room L-1
  • Friday, June 19, 10 a.m. - 12 p.m., Education Centre, room 165
  • Monday, June 22, 10 a.m. - 12 p.m., Katz Group-Rexall Centre, room 1-080
  • Tuesday, June 23, 10 a.m. - 12 p.m., Medical Sciences, room 227
  • Friday, June 26, 2-4 p.m., School of Business, room 1-9

Update for Trustholders of Staff Appointed Under the TRAS Agreement

The May 26, 2008, Memorandum of Agreement between the AASUA and the Board of Governors agreed to specific benefit changes for staff appointed under the Trust/Research Academic Staff (TRAS) Agreement effective July 1, 2009. Affected individuals have been advised by Human Resource Services of the specific changes.

The Memorandum of Agreement included premium assistance to Trustholders on any increased costs for these benefits for the period July 1, 2009 to June 30, 2011; thereafter, Trustholders will be responsible for the full cost. You will be notified in April 2011 of the benefit premium rates that will be effective July 1, 2011.
