eTRAC phased roll-out to administrators under way

Electronic Tracking of Research Awards and Contracts (eTRAC) access is being implemented, in phases, to units across campus between December 2005 and February 2006. This phase will focus on administrative personnel (including faculty support, research assistants, and support staff). Access for researchers is scheduled for March 2006.

Training: Research Facilitation Offices (RFOs) are coordinating and facilitating training on a unit-by-unit basis. For a refresher course or training information, please contact your Faculty's RFO. Units without an RFO may contact Eunice Wood.

Just-in-time training for researchers will be offered nearer to March 2006, when they are scheduled to receive access.

RGR remains available until eTRAC is fully rolled out.

RSO publishes new signature form

Researchers obtaining signatures on applications are asked to use the new Supplemental Signature Form where sponsor applications do not have room for signatures required by the U of A.

CFI, ASRIP and SEGP applicants requiring a supplemental signature form should contact their Faculty-assigned Institutional Programs staff member for program-specific procedures.

Form changes for project adds/amendments

A new form, entitled New PeopleSoft Project from Internal University Sources is available on the RSO website.

A second form, Change Request to Existing University Project, is undergoing final review and will be available shortly. Meanwhile, researchers and administrators may use the New PeopleSoft Project form. Please indicate on the form that the request is for an extension.

Generally, new projects from external sources are created when a negotiated agreement is finalized or a grant application is succesful and RSO has received all documentation (e.g., certifications).

Also, some extensions may require a re-negotiation of the contract or written approval from the sponsor. To avoid delays, researchers and administrators are encouraged to submit all pertinent documentation with the form and/or to contact their Faculty-assigned Agreements representative at RSO.

General Research Projects:
Eligible and Ineligible Expenses

Some confusion exists surrounding the use of general research projects. General research projects should only be used for the direct and indirect costs of research. Gift purchases and donations are not eligible. For more information, consult the terms of reference.
