Happy (Fiscal) New Year!
Fiscal Year End Communication
The University's fiscal year ends March 31st. Did you know: - Annually at year-end, RSO produces and distributes approximately 4,500 financial reports and produces more than 1,500 invoices, claims, and advances of funding
- At the beginning of the new fiscal year, RSO processes over 1,000 new grants, contracts, and PeopleSoft research projects
Should you require assistance with year-end preparations, please contact your Faculty's Research Facilitation Office (RFO) as your first point of contact with the Research Services Office.
For those units without an RFO, please contact the Research Services Office directly.
In order to ensure the successful and timely accomplishment of obligations to research Sponsors, please print and review the year-end requirements below.

What's the Status?
New Process for Closing Research Projects – PEOPLESOFT version 8.9
The recent upgrades to PeopleSoft version 8.4 and version 8.9 have necessitated a change to the manner in which Projects in PeopleSoft are closed upon reaching their end date.
PeopleSoft Projects now have a new status field that can control the processing of revenues and expenditures, as well as allowing for the close out of the Project.
The additional status field, called the Project Status, is now used to close Projects, preventing the further processing of revenues and expenditures, and will also determine the "Active" or "Inactive" status of Projects. This process will continue to run 10 days after the Project End Date has been reached and IBM will continue to issue a bulletin indicating when the process will be run.

Policy changes for U of A and affiliated centres and institutes
The policy affecting centres and institutes (both U of A and affiliated) has been retooled and posted to UAPPOL. For normal U of A centres and institutes, the policy is unchanged, with the following exceptions: - centres and institutes must now send annual reports to the dean and the provost
- new proposals must include a clause that considers the possibility of eventual wind down.
Affiliated centres and institutes (e.g., COMPRU, Bamfield, ABACUS, Synchotron, etc.) have new procedures and a new approval process.

inspections and University vehicle driver requirements
in planning and preparations for field work.
The University Vehicle Pool is also available to assist your
research team by providing rental vehicles
best suited to your research purposes.

eTRAINING
Finance Learning Initiative eTRAC courses
The Finance Learning Initiative is offering "eTRAC for administrators and researchers".
These courses provide an overview of financial management practices and related business processes at the University of Alberta as they relate to research administration. The courses also provide instruction on how to log in, navigate, inquire and print financial reports in eTRAC (electronic Tracking of Research Awards and Contracts).
